1. Introduction and Scope

These General Terms & Conditions (“Terms”) govern your use of the website locationroutesfilm.agency (“Website”) and your relationship with Location Routes Management Ltd (“we”, “us”, “our”, “Location Routes”, “Agent”) in respect of all services provided.

Our services include:

  • Representation and promotion of locations, controllable roads, routes, driveways, and land (“Routes Library”).
  • Location scouting and traffic management (including CAD/RAMS, permits, stop/holds, rolling/full closures, stunts/SFX/VFX support).
  • Equipment/kit hire (ez-ups, makeup mirrors, costume rails, signage, props/set dressing; delivery London/South East).
  • Freelance crew/talent facilitation and Green Room community membership.
  • Training, events, and career support (online, in-person, pop-up Drive Thru).
  • Location registration, referrals, and consultancy.

Specific services are governed by additional terms linked from relevant pages (e.g., Kit Hire Terms, Traffic Management Terms, Green Room Membership Terms). These General Terms apply as a baseline and prevail where no specific terms exist.

By using the Website, registering a location, submitting a referral, making an enquiry, booking services, or otherwise engaging us, you agree to these Terms. If you do not agree, do not use our Website or services.

2. Website Use

  • The Website provides information about our services, Routes Library, crew search, and news. Content is for general information only and may change without notice.
  • You may view, download, or print content for personal/non-commercial use only. No republication or commercial exploitation without written consent.
  • You must not misuse the Website (e.g., introduce viruses, unauthorised access, unlawful content).
  • We use cookies for functionality, preferences, and analytics. See our Cookie Policy and manage via banner/settings.

3. Location Representation & Registration

  • Owners/representatives granting us rights to list/promote properties provide a non-exclusive, royalty-free licence to use descriptions, photos, and details on the Website and social media (subject to visibility restrictions you declare and your consent).
  • We act as an intermediary; we do not own locations or guarantee availability, condition, or suitability.
  • On confirmed bookings/hires through us, we charge commission:
    • Exclusive representation: 20% of gross hire fees.
    • Non-exclusive representation: 25% of gross hire fees.
    • Rates as quoted/confirmed at intake.
  • Scouts/partners/referrers earn referral fees (typically 10% of our commission) on successful bookings from their lead. Referrals must be declared via code or timestamped message. First timestamped referral prevails. Fees paid post-invoice clearance.
  • Representation may be terminated by either party with 30 days’ written notice. We may decline/remove listings at our discretion.

4. Ownership, Entitlement & Facilities Declarations

Owners must declare:

  • Whether the asset is legally owned, managed by private landlord (with written permission), or housing association/council (with written permission).
  • Availability of facilities (toilets, green rooms, outdoor/indoor power, access restrictions, noise/time limits).
  • Any fee-splitting arrangements (e.g., housing assets).

False declarations may result in removal from Routes Library and liability for losses.

5. Hire Process & Consent

  • We notify owners of hire requests. Owners must respond within 2 working days.
  • Consent should not be unreasonably withheld.
  • Productions must obtain all necessary permissions/permits before shoots.
  • We may accompany scouts or monitor shoots.
  • Temporary alterations require written owner consent.
  • Shoot consents must be documented where required (e.g., involving children or restricted sites).

6. Bookings, Payments & Cancellations

  • Bookings require written confirmation (email/quote) and are subject to availability.
  • Deposits (typically 50%) required; full payment due 7 days before delivery/start (or on collection if local). Prices exclude VAT.
  • Late payments: Interest at 8% above Bank of England base rate.
  • Cancellations: Deposits generally non-refundable on late notice (specific rules in service terms). Earlier cancellations may incur scaled fees.
  • Training cancellations <5 days before commencement are non-refundable.
  • All Routes Library fees are non-refundable once paid.

7. Insurance, Liability & Damage

  • Productions/clients must hold adequate insurance (minimum £5 million public liability recommended, plus full replacement value for kit/vehicles where applicable).
  • We are not liable for: location suitability, downtime, production delays, consequential/indirect losses, loss of profits/data, or issues arising from use (except our negligence causing death/personal injury).
  • Our total liability (except death/personal injury from our negligence) is limited to the fees paid for the relevant service.
  • You indemnify us against claims/losses arising from your breach, inaccurate information, third-party actions under your control, or failure to obtain permissions.
  • Damage claims will be mediated fairly by us; you are liable for reasonable repair/replacement/cleaning costs plus admin fees.

8. Force Majeure

We shall not be liable for delay or failure to perform due to circumstances beyond our control (fire, flood, strike, riot, war, terrorism, acts of government, etc.).

9. Intellectual Property & Confidentiality

  • Website content is owned by us or licensed. No rights acquired beyond permitted use.
  • You grant us licence to use submitted materials for promotion.
  • All exchanged information (locations, clients, operations) is confidential and must not be disclosed without consent. Obligations survive termination.

10. Data Protection

Personal data is handled per our Privacy Policy (effective 3 February 2026), compliant with UK GDPR and Data Protection Act 2018.

11. Termination & Variation

  • We may suspend/terminate access or services for breach.
  • We may update these Terms; continued use constitutes acceptance. Check periodically.

12. Governing Law & Jurisdiction

These Terms are governed by English law. Disputes subject to exclusive jurisdiction of English courts.

13. Entire Agreement & Severability

These Terms (together with any service-specific terms and Privacy Policy) constitute the entire agreement and supersede prior discussions. If any provision is invalid, remaining provisions remain in force.
