These Terms & Conditions govern the hire of equipment and kit (“Equipment”) from Location Routes Management Ltd (“we”, “us”, “our”, “Company”). Equipment includes ez-ups, makeup mirrors, costume rails, signage, props/set dressing, rechargeable triangle LED lights, flight case makeup mirrors, filming in progress signs, litter pickers, galvanised smoking buckets, pop-up bins, hi-vis vests, cones, jerry cans, pedestal fans, and related accessories (inventory continually updated). By placing a kit hire enquiry, accepting a quote or taking delivery of Equipment, you (“Hirer”, “you”) agree to these terms. These terms exclude any of your terms unless expressly agreed in writing by us.
1. Booking and Confirmation
Kit hire booking enquiries must be made in writing via email ([email protected]) or through the contact form on our website. A booking is only confirmed upon our written acceptance (via email quote/confirmation) and receipt of full payment of the hire fee (no deposit required unless otherwise specified for high-value or first-time hires), and remains subject to Equipment availability.
You must provide accurate details at enquiry stage, including:
  • Intended use (film/TV production only)
  • Hire period (start and end dates/times)
  • Delivery/collection address
  • Proof of insurance (see section 5)
We reserve the right to refuse or cancel any booking at our discretion (with notice).
For first-time hirers, high-value hires, or when the Hirer is a limited company or other business entity, we may require verification of identity and authority. This may include:
  • Copy of the company’s Certificate of Incorporation (from Companies House)
  • Proof of registered office address (e.g., recent Companies House filing, official letter, or utility bill addressed to the company)
  • Identification and proof of authority for the signatory/representative (e.g., passport/driving licence for the individual authorising the hire, plus company letterhead or board resolution confirming authority)
We may also conduct basic Companies House checks electronically.
2. Delivery, Collection and Geographic Coverage
Delivery/collection is available, with base operations in Maidenhead (Berkshire, SL6 postcode area).
  • Standard delivery/collection zone: Within 35 miles of SL6 (Maidenhead area). This covers much of Berkshire, Buckinghamshire, parts of Surrey, Oxfordshire, Hampshire, Greater London (west), and surrounding counties (e.g., Reading, High Wycombe, Slough, Windsor, Uxbridge, Watford, Oxford fringes, Guildford fringes, Basingstoke fringes).
  • Further areas: Serviced at additional cost (mileage charged at £1.20 per mile round trip, or quoted fixed fee based on distance/time). We may decline or surcharge very long-distance hires.
  • You must provide safe access, parking and assistance for loading/unloading. We may charge extra for delays or unsuitable access.
Delivery/collection fees are quoted at enquiry based on distance/mileage. Local collection (e.g., Maidenhead area) may be free or low-cost.
3. Payment
Hire fees are as quoted, exclusive of VAT, delivery/collection fees and any consumables. Payments are accepted via bank transfer only. Full payment is due upon confirmation of booking (or 7 days before hire start for longer bookings; on collection for local pick-ups).
Overdue payments incur interest at 8% above the Bank of England base rate, calculated daily.
Cancellation fees:
  • More than 14 days before hire start: Full refund minus 25% admin fee
  • 7–13 days before: 50% of total hire fee
  • Less than 7 days before: 100% of total hire fee
No refunds for early returns (Equipment is reserved and unavailable for others).
4. Hire Period & Extensions
The hire period starts on delivery/collection and ends on return to our premises (or collection by us).
Extensions:
  • Any request to extend the hire period (before or during the hire) must be made in writing (email) as soon as possible, ideally at least 24 hours in advance.
  • We will endeavour to accommodate extensions, including reasonable last-minute requests, subject to Equipment availability and our discretion. Approved extensions will be charged at the normal daily rate (no premium unless otherwise agreed).
  • If an extension is approved last-minute and impacts other bookings, we may apply a reasonable admin fee (e.g. £50) or a small premium (up to 25% of the extension value) to cover administration and opportunity cost.
  • Unauthorised late returns (without prior request/approval) are charged at 150% of the daily rate per day (or part day) until returned.
5. Inspection, Use and Return
Inspect Equipment on receipt and notify us of defects/damage within 24 hours (via email with photos). Failure to notify deems acceptance in good condition.
Use Equipment only for film/TV production purposes, by competent personnel, in a proper manner and in suitable environments. No modifications, repairs or sub-hire without our written consent. Equipment remains our property at all times. You must keep it secure, not leave unattended in vehicles/public places, and inform us of its location if requested.
Return Equipment in the same condition (fair wear and tear excepted), clean and repacked as received.
6. Insurance and Risk
Risk passes to you on delivery/collection and remains until return. You are responsible for all loss, theft, damage or destruction during the hire period.
You must insure Equipment for its full replacement value (as new) against all risks, including theft, damage and continuing hire charges (up to 13 weeks loss of hire cover). Minimum public liability: £5 million. Provide proof of insurance (certificate showing your name, insurer, policy number and coverage) before hire start. We recommend specialist film hired-in equipment insurance (e.g. via Performance Film & Media or similar providers).
If insurance is inadequate or not provided, we may arrange cover at your expense or refuse the hire. Notify us and your insurer/police immediately of any incident (provide crime reference for theft). You remain liable until settled.
7. Damage, Loss, Replacement and Repair
You are liable for all damage, loss or theft (beyond fair wear and tear). Fair wear and tear excludes negligence, misuse, adverse weather or improper storage/transport.
Notify us immediately of any damage/loss (within 24 hours, via email with details/photos). Do not attempt repairs or modifications yourself — this voids warranties and may incur surcharges.
We will inspect Equipment on return. Any damage/loss will be invoiced at:
  • Repair costs: Full cost of professional repair + parts/labour + admin fee (£50 minimum) + loss of hire charges (daily rate until repaired)
  • Replacement costs: Full current market value as new (from manufacturer or equivalent) + admin fee (£50 minimum) + loss of hire charges (up to 13 weeks or until replaced)
If Equipment is damaged beyond economical repair, it is treated as lost and full replacement value applies. We may provide temporary replacement/cross-hire Equipment (at your cost) while resolving, but we are not obligated if unavailable.
Continuing hire charges apply at full daily rate until the matter is resolved (repaired/replaced/returned). Admin fees cover inspection, cleaning, recalibration or specialist handling. Excessive dirt/cleaning incurs extra charges. Hazardous waste (e.g. damaged batteries) disposed at your cost via licensed facilities.
No liability for data loss on any storage devices (if included); you must back up data. We erase all returned media for privacy.
8. Liability and Indemnity
Our liability is limited to the hire fees paid (excluding indirect/consequential losses, e.g. production delays, lost profits, data loss). We are not liable for Equipment malfunctions, variations in specs or third-party actions.
You indemnify us against all claims, losses, costs and expenses arising from your use/breach, including personal injury, property damage or third-party disputes.
Force majeure: No liability for delays/failures due to events beyond control (e.g. strikes, weather, acts of God).
9. Termination
We may terminate for breach (e.g. non-payment, misuse), with immediate repossession. You must allow access for recovery. Termination does not relieve you of payment obligations or liability for damage/loss.
10. General
  • Governing law: English law; disputes in English courts.
  • Severability: Invalid clauses do not affect the rest.
  • Entire agreement: These terms + any specific quote supersede prior discussions.
  • No waiver: Delay in enforcement does not waive rights.
  • Assignment: You may not assign without our consent.
